The Part-Time Receptionist at SFBFS’ Family Services’ campus is responsible for receiving calls and greeting guests, connecting them to appropriate staff members, answering questions and sharing information about SFBFS’ programs and services, implementing office procedures, as well as supporting the Communications staff by managing various administrative tasks and procedures. The Part-Time Receptionist is responsible for the following tasks:
Create a warm and welcoming environment for clients, volunteers, visitors and donors
Answer phone calls (bilingual English/Spanish preferred), forward calls to appropriate person/program, explain program hours and requirements to individuals, conduct limited client resource referrals
Greet volunteers, share volunteer opportunities, greet groups, answer basic inquiries from volunteers
Keep reception area clean and tidy, oversee security of main entrance
Assist in preparation of donor thank you letters and birthday cards
Act as point of contact for phone system concerns in absence of Administrative Receptionist
Assist with building security and surveillance of main entrance in absence of Administrative Receptionist
Assist VP of Communications & Marketing and Communications Coordinator with administrative projects such as event planning, research, filing, phone calls, etc.
Other duties as assigned
1-2 years of experience as a receptionist or administrative assistant
Knowledge of basic computer programs (Microsoft Office, internet) and phone systems
Ability to represent SFBFS in a favorable light to the public
Work harmoniously with other staff, work independently with very little supervision
Multi-task and manage several different priorities
Respond to unanticipated events and diffuse crisis/emergency situations
Highly organized and attention to detail
High standards of grooming and personal appearance
Friendly and outgoing personality, patient on phone and in-person
Reliable transportation is required
Part-time, hourly position; Monday through Thursday 10 a.m.-2 p.m., Friday 12-3:30 p.m.
Position is based at SFBFS’ Family Services campus in Oak Park in an office setting
